WEB Portal TUTORIALS

Welcome to BarOS! If you are unsure how to use the web portal, these videos will help you to get started. If you need access to the web portal, please email us at support@barsociety.com

​Setting up your Inventory List:
> Adding Bottles

To begin, you need to set up your bar's inventory list. You can find and add bottles from our liquid database.
  • At the sidebar, select your bar's "Inventory List"
  • Select "Add New"
  • Use "Search" to find your bottles in our liquid database
  • Key in the bottle details and click "Save"​

> Editing bottle details
  • At the sidebar, select your bar's "Inventory List"
  • Scroll through your inventory list or use the search bar to look for the bottle(s) in your inventory
  • Note that only values that are underlined can be edited
  • After editing, click on the Tick icon to save your changes


​Items Received:
> Adding Invoices
You can key in your purchases to keep track of your costs.
  • At the sidebar, select "Items Received"
  • Select "Add New" to add a new invoice
  • Key in the relevant details of the invoice (including the date) as well as the details of your purchased items
  • Once you are done, click "Save"

Items Received:
> Editing Invoices
  • At the sidebar, select "Items Received"
  • You may search for your invoice by using the calendar function, or by searching the invoice number
  • Once you have found your invoice, click "View"
  • You may edit any underlined values, including the date, as well as add new bottles or delete items
  • Once you are done with your edits, click "Save"
  • You may delete an invoice by clicking "Delete" as well

Report Archive:
> Editing & Downloading Reports
After generating reports from the BarOS app, you may view, edit, and/or download the reports in the web portal.
  • At the sidebar, select "Report Archive" (you may use the calendar function at the top right to find the reports you wish to view)
  • Select "View" on the report you wish to edit
  • The "Bar Status" tab  displays your bottles according to Bar Areas and Bar Sections, while "Par Level" shows you which of your bottles are below par
  • Note that only values that are underlined can be edited, such as the opening and closing stocks, and any transfers​
  • After editing, click on the Tick icon to save your changes
  • When you are done with your edits, head back to the "Report Archive" page to download your report​ ​


​Report Archive:
> Change Log
BarOS keeps track of any and all changes made by users. This helps you and your staff to be accountable!
  • At the sidebar, select "Report Archive" (you may use the calendar function at the top right to find the reports you wish to view)
  • Select "View" on the report you wish to check
  • Select the "Change Log" tab​

​Distributor Management:

You can compare the prices across all distributors here.
  • At the sidebar, select "Distributor Management"
  • You will see an overview of all your bottles and the price history from all your distributors
  • The lowest price for each bottle is highlighted in green

​Bar Area:

> Adding a Bar Area
  • At the sidebar, select "Bar Area"
  • Select "Add New" at the top right 
  • Key in the name of your new Bar Area
  • Once you are done, click "Save"​

​Bar Area:

> Adding a Bar Section
  • At the sidebar, select "Bar Area"
  • Choose a Bar Area and click on the "+" sign on the right to add a new Bar Section
  • Key in the name of your new Bar Section
  • Once you are done, click "Save"​

Bar Area:
> Adding / Moving / Deleting Bottles in a Bar Section
  • At the sidebar, select "Bar Area"
  • Choose a Bar Section and click on the "+" sign on the right to add a new bottle
  • Use the search bar to find the bottle that you want to add 
  • Click "Add Bottle"
  • If you would like to rearrange your bottles, use the "Drag and Move" icon located to the right of your bottle
  • If you would like to delete bottles, click on the "x" sign located to the right of your bottle



​Bar Analytic:

You can track your individual bottle sales against your total sales here.
  • At the sidebar, select "Bar Analytic"
  • Choose the date range you wish to check
  • Use the search bar to find the category or individual bottle sales that you wish to track against your total sales
  • You can also hover over the dots to see a detailed analysis


​Settings: User Management (Admin User)
Here, you can add, remove, and/or edit the users in BarOS. An Admin User will have access to any and all Bar Areas and Sections.
  • At the sidebar, select "Setting", then "User Management"
  • Click on "Add New User" at the top right
  • Fill in the required details such as the new user's name and e-mail, and create a password for that user
  • Once you are done, click "Save"​

Settings: User Management (Basic User)
Here, you can add, remove, and/or edit the users in BarOS. You can limit a Basic User's access to certain Bar Areas.
  • At the sidebar, select "Setting", then "User Management"
  • Click on "Add New User" at the top right
  • Fill in the required details such as the new user's name and e-mail, and create a password for that user
  • Make sure the user's role is set to "Basic" and select which Bar Areas you want him/her to have access to
  • Once you are done, click "Save"​

Settings: Email Notification Management
Here, you can register email addresses to receive reports generated from BarOS.
  • At the sidebar, select "Setting", then "Email Notification Management"
  • Under "Registered Email for Report", click on "Add New Account for this company" on the right
  • Key in the relevant email address and click "Save"
  • ​Note that all Admin Users will receive report emails, and you do not need a BarOS account to receive report emails
